MEET DIVISIONS

All entries should be submitted on the Athletic.net registration page.

VARSITY

Each school may enter 10 athletes per gender in the Varsity division. Second or “B” Varsity teams are not permitted.

JUNIOR VARSITY

There is no limit to the number of athletes each school may enter in the Junior Varsity races. Boys & Girls JV teams will run together, but will be scored separately.

ADDITIONAL ENTRY INFORMATION

• Meet entries are limited to 45 total teams. Entry is not confirmed until payment is received, and confirmations come in the order in which payment is received.

• The deadline to submit your final roster is Sunday, October 4th at 11:59 PM Eastern Time. Adjustments can be made between Varsity and JV race rosters in the event of illness/injury/etc., but new athletes cannot be entered into the meet after the deadline.

• There are no restrictions on upperclassmen running in the JV races

SANCTIONING

The Tidewater XC Invitational is sanctioned by the National Federation of State High School Associations (NFHS). All participating schools must be a member of their state’s public school athletic association, OR be a state association approved non member school. Schools that do not meet this criteria will not be able to participate.

ENTRY FEES

$200.00 per gender, $400.00 for both genders

Entries will close Sunday, October 4, 2026 at 11:59 AM. Entry fees are payable through Athletic.net or by check (payable to Charm City Run Events and sent to Charm City Run Events, 117 Church Lane, Cockeysville, MD 21030). Entry is not confirmed until payment is received, and meet appears on your team schedule on Athletic.net in GREEN.

Entries can be updated at any point until the deadline on October 4th.

ENTERING ATHLETES & PAYING THE ENTRY FEE

Many schools need an invoice for the entry fee in order for bookkeepers to process a check for payment. You can enter athletes and generate an invoice by doing the following:

1. Head to the Athletic.net registration page

2. Submit your roster by selecting the athletes you will enter into the meet. NOTE: You can edit your entries up until the deadline of October 4th at 11:59 PM with no penalty, so the athletes you enter initially do not need to make up your “final” team roster.

3. After you submit your entries, Athletic.net will generate an invoice (based on the “Entry Fees” breakdown above) that can be downloaded and forwarded to your Athletic Director for approval and payment. You also have the option to pay the entry fee by credit card at no additional fee.

Entry into the meet is not complete until payment is received, and the first 45 teams to submit payment are the teams that will be confirmed. We recommend submitting payment as early as possible to reserve your team’s spot.

1:30 PM - Bib Pickup Opens (Main Pavilion)

2:30 PM - Coaches Meeting (Finish Line)

3:00 PM - Varsity Boys Race

3:40 PM - Varsity Girls Race

4:20 PM - Junior Varsity Boys & Girls Race

5:15 PM - Awards Ceremony (Main Pavilion)

COURSE

The 5,000 meter course at WinterPlace Park has been home to the Tidewater XC Invitational for many years. The course features two main loops of the park and one wooded loop section, making it perfect for coaches and spectators to see athletes at multiple locations. The races close with an extended straightaway through the heart of the park, culminating with the finishing chute and arch.

TEAM AREA

Each school will have space in the designated team area to set up tents and any other equipment you may have. Athlete restrooms will be located near the park parking lot.

Please help us keep this recreational space clean by ensuring that all trash has been picked up from your team area before you depart. Teams that leave trash behind will not be invited back.

Awards will given as follows:

• Top 15 Individual Boys & Girls Finishers (Varsity Races)

• Top 3 Boys & Girls Teams (Varsity Races)

• Top 10 Individual Boys & Girls Finishers (Junior Varsity Races)

• Top Boy & Girl Teams (Junior Varsity Races)

MEDICAL SUPPORT

Parsonsburg Volunteer Fire Department will be onsite to provide medical support for runners for the duration of the event. As always, in the event of a serious or life-threatening injury/accident please call 911 immediately and then notify meet staff as soon as possible.

Please advise any athletes with specific allergies, asthma, or other health conditions to bring any medicines they may need to the meet in case treatment is needed.
